Who we are
Sideline Office is operated by Brennan Schachtner, a sole proprietor based in Minnesota, United States. Questions about this policy or your information go to brennanschachtnerphotography@gmail.com.
What we collect
- Account details — your name, email address, mobile number, profile photo, and your role (studio, contractor, club director, coach, parent, player or athletic director).
- What studios and clubs add— shoots and schedules, teams and rosters (which can include athletes' names, jersey numbers, positions, graduation years and a parent's contact details), photos and video, invoices, documents, contracts and signatures, and messages.
- Payments — card payments are handled by Stripe. We see that a payment was made and its amount; we never receive or store card numbers.
- Connected accounts — a studio owner can connect Google so the app can send email from their Gmail and add shoots to their Google Calendar. Only the access needed for that is requested.
- Device and usage information — your IP address, browser, the pages you use, and error reports when something breaks, so we can keep the service working and secure. If you turn on notifications we store the address your browser gives us to deliver them.
How we use it
- To run the service: showing each person what belongs to their studio or club, and nothing else.
- To send the notices the service exists for — booking confirmations, delivery notices, invoices and reminders — by email, push notification, and by text if you agreed to texts.
- To keep accounts secure, investigate problems, and fix bugs.
- To bill studios for their subscription.
We do not sell personal information, and we do not use it for advertising.
Text messages
If you agree to receive texts from Sideline Office Alerts, we use your mobile number to send you the messages you agreed to — job offers, booking confirmations and reminders, delivery notices and invoices — and to record your replies, such as YES or NO to a job. We keep a record of when and where you agreed, and of any request to stop.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. Your number is passed only to our text-message provider (Twilio) to deliver the messages.
Reply STOP to any text to stop receiving them, or HELP for help.
Who else sees it
- The studio or club you belong to. A studio sees its own clients, contractors and work; a club sees its own teams, media and invoices; a contractor sees the shoots they are booked on. None of them can see another studio's or club's information.
- Service providers that run parts of the service for us, under their own privacy and security terms: Supabase (database and sign-in), Vercel (hosting), Resend (email), Twilio (text messages), Stripe (payments), Google (Gmail, Calendar and maps, for studios that connect them), Dropbox, SmugMug and Cloudflare (storing photos and video), our print lab (a print order's name and shipping address), and Anthropic (reading a schedule a studio uploads, to turn it into shoots).
- When the law requires it, or to protect someone's safety.
Children and athletes
Many of the athletes photographed are under 18. Information about athletes is added by their club or the studio working for it, and photos are delivered only to that club's members and to people given a link by the club or studio. We do not knowingly let children under 13 create an account. A parent who wants an athlete's information or photos removed can ask their club, the studio, or us at brennanschachtnerphotography@gmail.com.
Keeping it safe, and for how long
Information is encrypted in transit, access is limited by role at the database level, and passwords are stored only as secure hashes. We keep information while the account or the studio it belongs to is active, and delete it on request unless we must keep it by law (for example, records of payments).
Your choices
- Update your name, number and photo in your profile or account page.
- Turn texts off by replying STOP, or in your notification settings; turn push notifications off on each device; use the unsubscribe link in any gallery email.
- Ask for a copy of your information, or for your account to be deleted, at brennanschachtnerphotography@gmail.com.
Changes
If this policy changes in a way that matters, we will say so in the app or by email before it takes effect. The date at the top always shows the latest version.
